What is a PropertyArchive?
• PropertyArchive is a permanent, on-line digital fingerprint of real property that can be customized and populated with documents, photos, maps and other important information related to the property.
• PropertyArchive have permissions management allowing for three levels of access to documents and information so that access can be tailored just the way you want it. Whether you are buying or selling property, or simply looking to have an online showcase of your property that grows and changes as your property does, www.PropertyArchive.com is a great way to manage documents in an easy to access, on-line location.
Who can use a PropertyArchive?
• You’re a landowner who wants to create a website of your real property that contains photos, digital documents, maps and becomes a comprehensive virtual tour for management, marketing, and showcases your valuable holdings for all your friends to see.
• You’re a broker who wants to have a dynamic web presence for your listings that allows you and your clients to post and retrieve documents and photos of the property, whenever or from wherever they want.
• You’re a buyer doing due diligence on an asset and you need an easily accessible location for documents, photos and maps related to your property of interest.
• Why wouldn’t you have a PropertyArchive when you could have a PropertyArchive?
Creating a PropertyArchive
• From LandVoyage.com:
You must have a current LandVoyage.com subscription in order to create a PropertyArchive thru landvoyage.com.
Once you have a current LandVoyage.com subscription, simply do a search on the area where the property is that you would like to create an archive of, and click the “Create a Custom Website” button on the Map Viewer page. Follow the instructions on the Order PropertyArchive page and you will have reserved your space on the World Wide Web for your custom PropertyArchive, which can be accessed at www.PropertyArchive.com/[your sitename].
• From PropertyArchive.com:
Simply click on the “NEW” link in the upper right corner of the www.PropertyArchive.com website and follow the instructions.
Once you’ve ordered a PropertyArchive, you can go to it by typing www.PropertyArchive.com/[YOUR SITENAME] into the address bar of your Internet browser and clicking the go button.
NOTE: During the order process, the website will require you to enter a Site Name. This will become part of the address of your PropertyArchive on the Internet, so pick a name that’s easy to remember, and easy to type.
Viewing a PropertyArchive
• Simply go to http://[YOUR SITENAME].propetyarcive.com/ and you’ll be at the home page of your PropertyArchive.
• If you left the optional address information blank during the order process, the PropertyArchive will be populated with very little information. You will see four tabs across the top, some of which will contain information, but for the most part, you’ll have a blank PropertyArchive that’s ready to be developed and populated with valuable information and photos related to the property.
• If you entered the address information during the order process, you’ll have a few more tabs across the top. You’ll also see a lot more information about the property and its surrounding area, such as geographic information, weather, automated valuation and links to popular mapping applications that will load with your property in them.
Editing a PropertyArchive
1. Go to the homepage of your PropertyArchive. You can do this by entering www.PropertyArchive.com/[YOUR SITENAME] into the address bar of your Internet browser and clicking the go button.
2. On the homepage of your PropertyArchive, is a link to the Administration page that lets you to add, remove or edit content that appears in the PropertyArchive. You can also manage access to by setting them to public, protected, or inactive. To begin editing the PropertyArchive, click on the Admin link on the right side of the title bar or the homepage, then enter your email address and the admin password you specified during the order process. If you don’t remember your password, simply refer to the confirmation email that was sent to your email address when you created the PropertyArchive.
3. After logging in with your email address and admin password, you’ll see the Administrator Tools page. This is the home page for editing the PropertyArchive. On this page, you can edit content, and control access to specific pages in the PropertyArchive by specifying the access level to one of the following:
• Public: This allows the general public to view the page.
• Protected: A password is required to view the page.
• Inactive: Turns the page off so that it does not appear in the PropertyArchive.
4. To edit pages in the PropertyArchive, click on the Edit link that corresponds to the page you would like to make changes to. This allows you to upload content such as documents, photos, and add maps and text to the pages. Any changes you make will automatically update your PropertyArchive, and no changes are permanent except for deleting, so if you make a mistake, you can always fix it.
Note: If you are uploading content to the PropertyArchive, it’s important that you keep backup copies on your computer incase you delete anything unintentionally.
5. Adding mapping information to the PropertyArchive is done by specifying a boundary. To do this, simply click on the boundary link on the Administrator Tools page. This will open a mapping interface that has the tools necessary to specify the property boundary. NOTE: this step requires Java. Follow these steps to add a boundary to the PropertyArchive:
a. Search for the property by selecting the most appropriate search option from the Search Options dropdown menu and performing the search.
b. Use the navigation tools to center the property in the map viewer. Click the Update Boundary button if you don’t want a boundary drawn on the maps or select the polygon tool and draw a boundary around the property.
c. Once a boundary is specified, go back to the Administrator Tools page and make the mapping page Public or Protected.
d. Edit the mapping page by adding maps and/or aerial photos of your choice to the page. You can also add text descriptions to any maps or aerials you add to the mapping page. Use the preview button to make sure the scale of the maps/aerial is exactly how you want it to appear in the PropertyArchive then click the Upload button to submit the change.
e. To edit the boundary of the property, simply log into the Administrator Tools page and click on the boundary link. You can change the shape of a boundary, add polygons to the boundary, change the location of the center of the map, make measurements of features on the ground and more.
6. Adding Documents to the PropertyArchive is simple. Just go log into the Administrator Tools page and click the Edit link that corresponds to the Documents page. The documents page is pre-loaded with folders that you can use to organize your documents. You can delete, rename or add new folders as needed. To upload a document to your PropertyArchive, select the folder you want to the document to be uploaded to, and then click on the Browse button to find the document on your computer. Once you have located the document, click on the Insert File button to submit the document to the PropertyArchive. The document will now be visible in the PropertyArchive.
Viewing PropertyArchive Web Traffic
To view website statistics associated with a PropertyArchive log into the Administrator Tools page and click on the Reports link. On the Reports page, you can specify the date you would like to see the website statistics for, and click the Submit Report button. This will display the total number of PropertyArchive page views there have been in the date range you selected.
